Group Orders (Office Orders and Corporate Catering)

Accessing Group Ordering

  1. Log In: Access the platform and navigate to the Office Orders section, available from the homepage via a call-to-action link or the top navigation bar.

  2. Dashboard Options:

    • View and manage Active Orders.

    • Manage Groups and Invitations.

    • Run Reports for order insights.

Creating a Group Order

  1. Start an Order:

    • Select Start Order to create a new group or use an existing group (e.g., "Office Crew").

    • Options to Edit or Delete the group are available.

  2. Invite Group Members:

    • Choose participants by selecting All, None, or specific individuals.

    • Confirm selections and proceed.

  3. Set Delivery Details:

    • Choose a Delivery Address.

    • Select a Date and Time for delivery (no cutoff time required at this stage).

    • Decide whether to send invitations Immediately or Schedule them for later.

    • Set Reminder Emails (e.g., 30 minutes before the order cutoff) to notify invitees who haven’t placed their orders.

Selecting Restaurants

  • Multiple Restaurant Selection: Choose multiple restaurants for a single order.

  • Capacity Information: Upon selecting a restaurant, the system displays the number of members it can serve based on admin settings (e.g., Charlie’s can serve 30 members per hour).

  • No Cutoff Time: Cutoff times appear only after selecting a restaurant, ensuring flexibility.

Admin Panel: Restaurant Settings

  1. Navigate to the Admin Panel to configure group order settings.

  2. Set Maximum Members per Hour for each restaurant to ensure food is prepared hot and fresh.

    • Example: Charlie’s can serve 30 consumers per hour with a 45-minute buffer for preparation.

  3. Save settings to update restaurant capacity in the order creation process.

Payment Options

  1. Pay for Everyone:

    • The organizer covers all costs and sets a gratuity.

    • Option to include the delivery fee or have invitees chip in.

  2. Everyone Pays for Themselves:

    • Each participant pays for their meal.

    • Delivery fee can be split (e.g., $1 per person for an $8 total fee with 8 invitees).

    • Excess contributions (e.g., 20 people paying $1 each for a $5 fee) can benefit the organizer.

  3. Pay for Everyone with Budget:

    • Set individual budgets for each participant.

    • Organizer can cover the delivery fee or have participants contribute.

Finalizing and Sending Invitations

  1. Complete payment settings and send invitations.

  2. Invitees receive an email with a link to select their meal from the chosen restaurants (e.g., Charlie’s or Pav Hanna).

  3. Participants can add a tip, review their order total, and confirm their selection.

  4. Upon completion, invitees receive an email confirmation with an option to create an account.

Organizer’s View

  • Navigate to Office Orders to monitor Active Orders.

  • View order Status (e.g., Open), Payments, and Customers who have placed orders.

  • Access detailed reports for order tracking.

Corporate Setup and Customization

  1. Edit Group Settings:

    • Enable corporate requirements like Location, Department Name, and Project Name.

    • Example: Tech department, Auto Dispatch project, Building 1.

  2. Save settings to apply to new orders.

  3. Invitees can join and select meals while specifying their department and location.

Group Order Alerts and Bundles

  • Alerts: If an issue arises, an alert appears with options to create a support ticket or resolve independently.

  • Group Bundles: Orders are split by restaurant and location (e.g., Building 1 vs. Building 2) for streamlined delivery.
