Reconciling Deposits in the New System
This guide outlines the process for reconciling deposits in the new system, ensuring your financial records align with the transactions processed.
Follow these steps to verify your deposits accurately.
1. Access the Ledger Report
Navigate to Financials in the system.
Select the Ledger Report.
Run the report for the desired date (e.g., June 23rd).
Review the report to see all transactions for that day.
At the bottom of the report, note any adjustments, such as:
Credit card total
Platform fees
Payout amount (e.g., $2,916.87 for June 23rd, assuming no partner pay programs are used).
Verify Balances in Manage Payments
Open Manage Payments in a new tab.
Select the Balances section.
Locate the business date (e.g., June 23rd) and find the transfer amount for that day.
Example: Transfer for June 23rd should show $2,916.87.
Confirm the amount matches the payout from the Ledger Report.
Cross-Check with Daily Financial Report
Run the Daily Financial Report for the same date (e.g., June 23rd).
Locate the Client Credit Card Balance After Deductions (this represents the deposit amount).
Example: The report should show $2,916.87 for June 23rd.
Note: The term "deposit" refers to the amount transferred to your available balance for that day's business, not necessarily the final amount deposited into your bank account (see below for factors affecting the deposit).
Understand Factors Affecting Deposits
Escrow: If escrow is used, funds may be held back. For example:
If $500 is held in escrow, a $2,916.87 balance would result in a $2,416.87 deposit.
Pay on Pickup: If enabled, this will reduce the available balance, and the deposit will reflect the remaining amount after escrow and other deductions.
Verify the Final Deposit
The amount in the Daily Financial Report (Client Credit Card Balance After Deductions) represents the money moved to your available balance for that day's business.
Cross-check this with your bank account deposit to ensure accuracy.
If discrepancies arise, review adjustments, escrow, or pay-on-pickup settings to identify the cause.
