Initial Set up

Log in to Square using valid credentials

Open URL to login to POS https://squareup.com/login > Enter the Login Credentials

Under Home page, Click on Items to view the menu

How to Add a New Menu



How to Add an Item

Go to Items



Click on Item Library > Click on Create an Item

Enter Name of item

Update the Item description under Description


Update item price on Price field under Variation section > Select the Modifier Groups to apply to item under Modifier Sets section > Click on Save



How to Add an Alternate Item name in POS

Please follow these steps to add an alternate item name:

Note:Alternate Name’ custom attribute is not available by default within the Square POS. This needs to be set up manually once before use.

How to create a custom attribute for Alternate Name of an Item

Step 1: Go to the Square POS dashboard

Select Items.


Step 2: Select “Custom Attributes” from the navigation panel shown below. Then, select the “Create Custom Attribute” button that will open up a new dialog box indicated below.


Step 3: In the Create custom attribute dialog box indicated above, set the Attribute name to ‘Alternate Name’ and Attribute type to ‘Text’. Then, select the “Add” button to successfully add the desired custom attribute.

Note: Please ensure that you have entered the correct spelling of custom attribute i.e. Alternate Name in the Attribute name field to get it accepted by the system.

How to add an Alternate Item Name in POS

Step 1: Go to the Square POS dashboard

Select Items.


Step 2: Select the desired item for which you would like to add an alternate name and click on the item name to enter into the Edit Item page.

Note: You can also search the desired item using the search bar indicated below.




Step 3: Scroll down to the Variations section and select “Edit Variation details”. A new “Edit Variation” dialog box (shown below) will appear on the screen.




Step 4: Select ‘Add custom attribute'

Select 'Alternate Name’ from the drop-down list shown below.



Step 5: Enter the alternate item name in the ‘Value’ field indicated below. Select the “Add” button

Select “Done” button to add the alternate name for the item.




Step 6: Now, you can find the alternate item name updated in the “Alternate Name” field as shown below. Select the “Save” button to save all the incorporated changes.


How to Add/Edit an Item Description

Go to Items




Click on Item Library > Search the item name > Click on Edit




Update item description in the Description field > Click on Save




How to Add an Image/Photo

Go to Items

Click on Item Library > Search the item name > Click on Edit 




Click on Point of Sale tile icon > Click on Add Image >




Select the Image/Photo > Click on Done




How to Add/Edit Price

Go to Items

Click on Item Library > Search the item name > Click on Edit




Update item price under Price field on Variations section > Click on Save




How to Make an Item Visible on POS for Specific Location

For multi-unit locations, to make an item visible in the POS at a specific location(s) follow these steps:

Go to Items

Click on Item Library > Search & click on the item name > Click on Edit




Click on All Locations under the Detail Section




Check the box next to the corresponding Location [My Business is used as the Location in the example below] option > Click Save




How to Mark an Item Out of Stock

Go to Items

Click on Item Library > Search & Click on the item name




Scroll down to Variation Section > Click on Add low stock alert under stock > Click Done




How to Remove/Delete an Item

Go to Items

Click on Item Library > Search the item name > Click on Delete >




Click on Delete Item to confirm




How to Add Tags

Go to Items

Click on Item Library > Search & Click on item




Scroll down to Custom Attributes section > Click on Add custom attribute




Update the Custom Attribute field, Attribute type field and Value field > Click on Add




How to Sort/Arrange Items under an Item Category

Note: This needs to be managed from the ItsaCheckmate Portal. Please login to your ItsaCheckmate Portal and follow the steps below.

Click on Menu Management on homepage > Click on Sort Menu 




To Sort Categories:

Drag and drop Category to desired space > Click Save > Click Push to Ordering Platform

To Sort Items within a Category:

Drag and drop Item to desired space > Click Save > Click Push to Ordering Platform



How to Add an Item Category

Go to Items 



Click on Categories > Click on Create a Category 





Update the name under Category Name field > Click on Save (You may also Assign items directly using Save and Assign Items option)





Menu Creation: Modifiers & Modifier Groups

How to Add a Modifier Group

Go to Items



Click on Modifier > Click on Create a Modifier Set




Update the Modifier Group name > Add Modifiers with Prices > Click on the Location to tag the modifier set > Click on Save




How to Edit the Price of Modifier

Go to Items


Click on Modifier > Search and click on Modifier




Edit the Modifier Price > Click Save





How to Arrange/ Sort Modifiers

Modifiers will appear in the order that they appear in the POS under the Modifier Set.

To rearrange modifiers, go to Items > Modifiers > select the Modifier Set

Select the “hamburger” icon and drag and drop the modifiers in the order you would like them to appear on the menu


How to make a Modifier as Default/Preselect

Go to Items


Click on Item Library > Search & Click on Item






Click on Edit > Scroll down to Modifier Sets section > Select the modifier group > Click on Customize



Update the modifier using Checkbox as Pre-selected > Click on Done


How to Remove/Delete Modifiers

Go to Items



Click on Modifier > Click on the Modifier Set > Click on the X > Click on Save





How to Remove/Delete Modifier Group

Go to Items > Modifiers

Go to the Modifier Group you wish to remove from an item and select Apply to Items

Uncheck the Items from which you wish to remove the Modifier Group



How to Arrange/Sort Modifier Groups

Note: This needs to be managed from the ItsaCheckmate Portal. Please login to your ItsaCheckmate Portal and follow the steps below.

Click on Menu Management on homepage > Click on Item > Click on Sort Modifier Groups > Drag and drop item to desired place > Click Save






How to Change the Min/Max Options and Set as Required for the Modifier Group

Go to Items


Click on Item Library > Search the Item > Click on Edit





Scroll down to Modifier Sets section > Select the modifier group > Click on Customize





Update the count for Required & Maximum selection > Click on Done

How to set Regular Hours

Note: This needs to be managed from the ItsaCheckmate Portal.

Click on Hours > Click on Regular Hours > Click on Edit > Update the hours as needed





Update the hours as needed > Click Save >  Click Push to Ordering Platform





How to set Holiday/ Special Hours

Note: This needs to be managed from the ItsaCheckmate Portal.

Click on Hours > Click on Special/ Holiday Hours > Click on Edit > Update the hours as needed




Update the hours as needed > Click Save >  Click Push to Ordering Platform



How to set Kitchen Prep Time

Note: This needs to be managed from the  Portal.

Click on Hours > Click on Kitchen Prep Time > Click on Edit



Update Prep Time minutes > Click on Save > Click on Push to Online Platforms







How to Add Tax Rate (Individual Item Level Tax & Location-based Taxes)

Go to Items






Click on Sales Taxes > Click on the Create a Tax





Input Tax details > Click on Save





Click on the Apply to Items





Select Items for Tax > Click on Apply to Items

How to Change/ Edit Item Details (Name, Description)

Go to Items


Click on Item Library > Search the item name > Click on Edit



To update Name of Item:

Update item name under Name field under Details section > Click on Save

To update the Description of Item:

Update item description under the Description field under Details section > Click on Save

Please follow these steps to add an alternate item name:

How to Edit an Item Category

Go to Items




Click on Categories > Find the category you wish to edit > Select and Rename





Rename the category > Select Save


How to Add a Modifier Group

Go to Items

Click on Modifier > Click on Create a Modifier Set



Update the Modifier Group name > Add Modifiers with Prices > Click on the Location to tag the modifier set > Click on Save




How to Edit a Modifier Group

Go to Items



Click on Modifier > Search and Click on Modifier > Edit Modifier information > Click Save




How to Remove/Delete Modifier Group

Note: No option to Remove/Delete Modifier group. Items must be unchecked or untag from the Item list

Update Prep Time minutes > Click on Save > Click on Push to Online Platforms



How to set Time Specific

NOTE: If you have integrated Ordering Platforms that allow for time-specific prep time, you will have the option to uncheck the “use default prep times” button which will expand the days of the week.

Click on Hours > Click on Kitchen Prep Time > Click on Edit > Uncheck Use Default Prep Time



Set Day Prep Time for each day of the week as you like > To set Prep Time based on time of day, check By Time Period:

a) Enter start and end time

b) Set prep time next to that time rance

c) Select '+' to add more time ranges for that day

Repeat above steps for each day of the week > Click Save when finished




For Ordering Platforms that do NOT support time-specific prep times, their logo will appear below the Default Prep Time section and will only use the default time which applies to all days of the week. 

For Ordering Platforms that DO support time-specific prep times and for which time-specific prep times are set, their logo will appear below the Time Specific Prep Time section making it easier to distinguish which OP  is using which type of prep time.


How to Mark the Location or Order Platform Online/ Offline in ItsaCheckmate Portal

NOTE: This process must be completed in the ItsaCheckmate Portal.

Click on Menu Management:

To mark Location online/ offline > Toggle the Online button next to the Location Status

To mark Ordering Platforms online/ offline > Toggle the Online button next to the Ordering Platform(s)

Once complete, click on Push to Ordering Platform
