Our Processes

When we want to start a new campaign, the first thing we have to do is to get contacts. Currently, there are two ways to do this. 

The first way to get the contacts is from platforms such as Brizo Foodmetrics. They have thousands of contacts from across North America, but be careful, the information is not always accurate. For those cases, it’s good to know that we have a tool like Quick Email Verification, used to validate email addresses (both individually and in bulk).

The second way is by using Lusha, a tool that allows us to search for contacts all over the world. We use it mostly in two specific scenarios:

  1. We know that a specific company might be a good fit for us, so we go into Lusha and search for a specific role(s) in that company.

  2. We want to create a new list of contacts based on specific criteria such as Technology, Location, Industry, Number of employees, etc.

At the same time that we are looking for contacts, we should also be creating the campaign’s content. For that, we use several tools such as:

  • Chat GPT and Google Bard for email subjects and body creation.

  • Canva for Graphic Designs. It’s good to know that we have a great design team, and if you need any request feel free to use our Marketing Board or, if urgent, contact one of them directly.

  • Google Docs to work on the email drafts. By doing this, the entire team is allowed to collaborate and provide valuable feedback.

Once the contacts and the emails are ready, we then need to migrate all of that to our Email Marketing tool, which is Overloop.
To make the Contact Importing process easier, we should use a Google Spreadsheet document using this template.

During the campaigns, we must go to the performance section -Once or twice a day- to evaluate how the campaigns are doing. Mostly, if we are doing A/B testing on any campaigns. This way we will be able to take action and make corrections if needed. 

Last but not least, it’s good to mention that we’ve created some automations that make our day-to-day activities easier.
When contacts start to interact with our emails, we will:

  • Receive Slack notifications when contacts click on any link

  • Receive Slack notifications when contacts reply to our emails

  • Get Deals created in Pipedrive when contacts reply to our emails. We use this tool to keep track of every activity related to the leads.

In regards to Pipedrive, the team should be checking on the activities daily. This way, we are fully aware of what’s going on with every lead. Another tool that we use to keep track of activities (Mostly on the ActiveMenus side) is Keap.

Whenever a new meeting is scheduled with our team through our Calendly link, you should prepare a document with all the relevant information from the company we will be meeting. This is an example.
